Once you're happy with the updates you've made to your page, follow this process to send it for approval and publish:

  1. On Preview Draft, select the Submit button.
  2. Select Check Content & Submit.
  3. A window will appear flagging spelling errors, broken links or accessibility issues. Correct any errors (ignore misspellings that aren't errors such as room numbers or names.) Then select the checkmark to proceed.
  4. When the Start Workflow window appears, indicate what changes you have made to the page in the version comments. Be as specific as possible. 
    • Important! If you do not want your changes to be published until a specific date and time, please indicate this in the version comments. 
  5. Select the start workflow button in the top, right-hand corner of the page.

If your page is approved, you'll receive an email indicating that the page will be live on the site shortly.

If your page requires changes:

  1. You'll receive an email stating the page requires further review and edits, along with comments from the reviewer on what needs to be changed. Additionally, you'll see a red "Waiting" tag alongside the page workflow in the My Workflows widget on your dashboard.
  2. Reopen the page, make the required changes and select the Advance button to resubmit to the Site Approval team.

Once a page has been submitted to the Site Approvers for review and publishing, you will not be able to make any additional changes until that page has been either approved or sent back to you for corrections.

Editing blocks

Blocks don't need to go through the workflow. 

However, while you won't be prompted to submit blocks for approval when making edits, you must still submit the page(s) they're used on for review, approval and publication. 

Approval schedule

Workflow approvals are done Monday through Friday (other than statutory holidays) between the hours of 8:30 am and 4:30 pm. A member of the Digital Strategy team in Marketing will be monitoring for draft submissions. Draft review and approvals will happen three (3) times a day at a minimum:

  • 9 am
  • 1 pm
  • 4 pm

Depending on other priority work the team may be attending to, please allow a +/- 30 minutes from these timeframes to hear whether or not your page has been approved for publication or needs further changes.

If you need a page published before a certain time frame, please be mindful of the publishing schedule.

A full site publish can impact speed within the CMS and slow down contributor work. For this reason, the full site publishes are performed twice during a 24-hour period:

  • 4 am
  • 6 pm
